A single late cancellation feels minor: one empty hour, one apology, one rescheduled session. Spread across a year of tutoring it becomes one of the largest hidden costs in the business, and because it never shows up as a bill, most tutors never see the total. Deciding on a cancellation policy is much easier when the number is in front of you.

This calculator takes your session price, your weekly schedule and the share of sessions that are cancelled late or missed without notice, then works out the sessions and revenue lost over a year. It then applies the cancellation fee you would charge, as a percentage of the session price, to estimate what a policy would recover. It assumes every fee is actually collected, so treat the recovered figure as an upper bound.

How to use this tool

  1. Enter your session price and how many sessions are on your calendar in a normal week.
  2. Estimate the share of sessions cancelled late and the share missed without notice; a quick count from last month's calendar is enough.
  3. Set the fee you charge, or are thinking of charging, and your teaching weeks per year to see the annual loss and what the fee would recover.

What the math assumes

  • Late cancellations and no-shows are both counted as a full session of lost revenue unless a fee is charged.
  • The fee is applied to every late cancellation and no-show and is assumed to be collected in full; in practice some families dispute or ignore fees.
  • Rescheduled make-up sessions are not counted as recovered revenue, because they usually take a slot that could have been sold to someone else.
  • Cancellation and no-show rates are applied evenly across the year; back-to-school and exam season often behave differently.
  • Only direct session revenue is counted. The cost of your wasted time, travel or a room you still pay for is not included.

Frequently asked questions

What counts as a late cancellation?

Whatever your policy says. Common notice windows are 12, 24 or 48 hours. Only count cancellations that landed inside that window and left the slot empty.

What cancellation fee should I charge?

That is your call. Some tutors charge half the session price for late cancellations and the full price for no-shows. The calculator lets you test any percentage, so try the figure you are comfortable enforcing rather than the highest one.

Why does the recovered amount look optimistic?

Because the model assumes every fee is paid. Fees deducted from prepaid packages or charged to a card on file are collected far more reliably than fees added to a later invoice, which is why the result is an upper bound.

Does a cancellation policy reduce cancellations themselves?

Often, but the calculator does not assume it. If you want to model fewer cancellations after introducing a policy, lower the late cancellation rate and compare the two results.
